GENERAL BOOKING RULES

The club (the associated online booking system and the Booking Officers) will operate with the a set of rules which you can view here.

Booking Principles

The new online booking system will provide real time accurate information to our club members about room availability. In most cases it will enable them to book and pay for the room of their choice while on-line and to confirm their stay immediately. 

The system will maximise the opportunity for as many members and their families as possible to stay at the lodge each year. It will help the club to maximise occupancy. 

As with the existing system, a series of booking windows (School Holidays’ Ballot, Priority, Early Bird, General) and seasonal rates (Peak Winter, Economy and Winter) are chosen depending on school holidays etc.

Bookings by non-lodge members

Non-lodge members (guests) can seek to book the lodge in the off-season. They must be nominated by a lodge member who can vouch for them and will be responsible for any damage to the lodge during their stay.

Eligibility for people to book

Members will need to be financial in order to book accommodation (see Up To Date Subscriptions below). They can pay any outstanding subs through Clubman. (You will need an email address and you will need to have created a password or reset your password). Guests of members will need to be added to this system and introduced by members.

MAKING A BOOKING

Each SPCAC member (Unit Holder) has been sent a link to Clubman; the booking platform we are using. It is essential members confirm their details are correct and register details of Family, or Guests, so that they can be booked.

Please use the following abbreviations:

a. Unit Holder ​(the Member, don’t need to put in a family relationship)

b. UHSD ​​(Unit Holder Spouse or Defacto)

c. UHC​​ (Unit Holder Child)

d. UHCSD ​(Unit Holder’s Child’s Spouse or Defacto)

e. UHGC ​(Unit Holder’s Grandchild)

Please note, a Member’s (Unit Holder’s) Family member can only be entered as affiliated with one Family. 

You will also need to pay at least 50% of your annual membership at the same time or you will not be able to make a booking.

CANCELLATIONS

Members must cancel their bookings by emailing or calling the Booking Committee (the 3 Booking Officers) as soon as they know they are unable to attend.

The following applies to all cancellations.

a) For cancellations more than four weeks prior to a booking, the Booking Officers will process the cancellation and provide a refund in accordance with the current club policies.

b) For cancellations within four weeks of a booking, the Member can apply to the Booking Officers for a refund of any nights that were subsequently filled and paid for by another party.

c) In the case of last-minute cancellations for compassionate reasons (bereavement, medical treatment, etc), medical certificates or other documentation should be provided to the Booking Committee who will seek ratification by the Board of any special circumstances refund. 

WAITLIST

a) Whenever there is a cancellation for all or part of a week that has been booked by a member (unit holder), the waitlist process will be invoked. If there is no waitlist for that week, the newly available days will immediately be returned into general availability.

b) Clubman sends a message to the Booking Officers when the waitlist process is invoked. Clubman generates a waitlist of people who have indicated they want this week if they are unsuccessful when booking. 

c) The Booking Officers will review the waitlist for a room that is made available by cancellation and contact the appropriate member/s from that waitlist to fill the vacancy (one of the options below). If the vacancy is still unfilled within 48 hours the Booking Officers will make it live on the online system for other members to book.

d) If more than one Member is on the waitlist for a particular week, the Booking Officers will prioritise:

1. the Member/s with no booking

2. followed by the Member/s who have the least nights booked

3. followed by other Members. 

e) If there is more than one Member in any of the waitlist priority groups, the booking committee will contact the Member/s who tried to make the booking first (from date/time stamp on waitlist)

UP TO DATE SUBSCRIPTIONS

The Board has approved payment of subscriptions in two instalments with the due dates as 31 March for the first instalment and 30 September for the second instalment.

In order to be able to book, Members (unit holders) must be financially in good standing with their subscription payments up-to-date. If members have not paid the first instalment (or their full subscription) by 31 March they will not be able to make a booking until that instalment is paid.

If the second instalment is not paid by 30 September, the member must approach the Board to explain (via email to secretary@southperisher.org.au) before the 30 September as the club requires the cash flow to meet its operating costs.

JOINT MEMBERS

Where two names are on the share register for one share, that share only accrues the rights of one membership (unit holding) in the booking system. 

Where the joint shareholders are not spouses and don’t share the same children, joint shareholders will have to work out between themselves who is entitled to make the bookings each year and notify the booking committee. 

PAYMENT

Payment in Clubman can be made by credit card or direct debit at time of booking.

RIGHTS OF THE CLUB

The Club reserves the right to move bookings between rooms where required to maximise utilisation of the lodge. Affected members will be informed and consulted, and due care will be taken to try to ensure that everyone’s needs are met. 

Members have been granted the option to pay their annual subscriptions through CLUBMAN in 2 payments. The first payment is due on 31 March each year. If members have not made their first payment by the due date they will not be eligible to book.
